Information for Faculty

Inter-Library Loan

Interlibrary loan services are available to faculty, staff and students. Books, government documents, music scores, and copies of periodical articles are the most frequently requested items borrowed from other libraries. Every effort is made to avoid charges for the loans.

Hardin-Simmons University makes no charges for interlibrary loan services; however, charges assessed by the lending library are passed on to the borrower.

The time required to secure the materials is usually 10 working days and the loan period is set by the lending library. It is important to provide all the bibliographic information asked for on the Interlibrary Loan Request Form, especially a complete title with no omitted words, as requests are processed via a database. The Interlibrary Loan Request Forms are available online via library web page under the “Library Services” heading.

The Interlibrary Loan Department (ext. 1565) supervises interlibrary loans.

Some restrictions to Interlibrary Loan are that no more than five requests in a given year from the most recent five years of any periodical title may be requested. Also, no more than 10% of the material from a complete work may be copied for loan. This is in accordance with accepted policy for compliance with current copyright guidelines.

Reciprocal Borrowing

Hardin-Simmons is a member of the Abilene Library Consortium which automatically integrates the resources of HSU, Abilene Christian University, McMurry University, Howard Payne University, and the Abilene Public Library. Through this consortium, the online catalog holds 2.4 million volumes and there is reciprocal borrowing among the members. Faculty may check out materials from the libraries at Abilene Christian University, McMurry University and Howard Payne University or the Abilene Public Library. The libraries operate a courier delivery service Monday through Friday among the five libraries. Materials may be requested online and delivered and/or returned by courier. These services are provided at the Circulation Desk. Checkout periods are 21-30 days on most items from the other libraries.

Library Instruction

Research instruction is provided by the faculty librarians at the request of any member of the faculty. General tours or specific research problems can be addressed during a library instruction program. The librarians welcome the opportunity to address a class before major library research is assigned.

As students declare majors, it is desirable for them to be made aware of specialized tools available in their chosen field. Faculty members should ask the librarians to provide instruction.

Call or Email at least a week in advance to arrange a tour or instructional program. Mr. Maynard, the Associate Director, (ext. 1237) does the majority of the instruction classes and can also arrange specialized tours in most fields. Dr. Floyd has a specialty in music if you wish to have instruction in that subject.

The librarians will be happy to work with faculty members in developing online library guides on needed topics. Librarians are available daily to help individuals who need specialized research assistance.

Student Assistant Information

Student assistants and departmental secretaries may check out library materials for faculty members following these instructions:

The faculty member must own an HSU ID.

On the first occasion of checkout, the faculty member must send a signed and dated memo indicating permission for the named assistant to check out on your behalf. The memo should be sent to the User Services Supervisor to be kept on file.

The library will note on the faculty member’s record the name of the assistant who has permission to checkout on the faculty member’s record. This permission will need to be updated each semester.

The assistant will need the faculty member’s HSU ID for each checkout.

The faculty member is responsible for the return of the library materials, even if the faculty member has lent the materials to another person.

Assistants are not allowed to checkout non-circulating materials.

Materials to be placed on reserve, such as copies, books, videos, etc. must be brought to the Circulation area and a form completed to indicate the course, reserve type, date to be removed from reserve, and faculty member’s name, address, phone number and box number. Please allow two working days for the Circulation staff to process items for reserve before assigning students to use the reserve materials. A complete citation must be provided for articles or portions of articles or books for copyright purposes.

Assistants may copy, fax, or laminate only if they have a completed and signed by the budget head interdepartmental form with the appropriate budget number or cash to pay the cost of these services.

The library staff would be pleased to provide research instruction or library orientations for assistants. Please contact a librarian for an appointment.

Color Prints, Scanner, and Laminations

Technology Services makes a color printer available in the library. A worker at the circulation desk on the first floor must send the print job to the printer. Color prints must be academic in nature in order to avoid charge. You can bring the item already on a flash drive or one can be provided for you. Any other color printing costs, .25 cents per page, due in cash.

A scanner is also located on the copier on the first floor near the University Librarian’s office. This also requires a flash drive to save the scan.

Laminations are available at the circulation desk on the first floor. Charges are $1.00 per square foot ($5.00 minimum) which must be paid in cash or via a completed and signed by the budget head, interdepartmental form with the appropriate budget number.

Order New Materials

Faculty may order new materials via the material request form available online under the “Additional Resources” heading on the library homepage. Requests will be ordered as the library budget allows.

Telefax Services

The library receives and sends telefacsimile messages for current faculty, staff, and students at HSU. Charges for U.S. transmissions are free. One foreign transmission per month per patron is free up to ten pages. Additional pages are $1.00 per page, due in cash. The first ten pages received are free.
